A guide to cross-border visit coordination

Your healthcare visit to China: the process and service boundaries

Clarify hospital document channels and visit preparation before deciding to travel. Send original records directly to the hospital and start with contact details for a free consultation. See each stage’s responsibilities, outputs and indicative timing.

Contact details come to the platform; clinical records, images and identity documents go directly to the hospital.

Important disclaimer and service boundaries

Get Well China independently coordinates travel and communication for healthcare visits. We are not a healthcare provider. We do not collect or review medical records; submit clinical records, results and identity documents directly through the hospital’s designated channel.

  • We do not provide online clinical diagnoses, prescriptions or treatment advice.
  • We do not guarantee acceptance by any public or other hospital, or reserve or guarantee specified inpatient beds.
  • We do not promise treatment effects, cure rates or specific clinical outcomes.
  • We do not guarantee specific approval, visa, hospital scheduling or other processing times.
  • In this pathway, licensed physicians at the treating hospital independently make final diagnoses, treatment plans and admission decisions after an in-person consultation and any necessary examinations.
  • Pay clinical fees directly to the hospital. The platform does not collect or pay clinical fees on your behalf.
  • Visa issuance rests with consular or visa authorities; entry rests with border authorities. We coordinate non-clinical document contacts only and do not guarantee visas or entry.
  • The travel agency separately provides and directly charges for agreed accommodation, transport and interpreting.
  • We do not judge fitness to fly. Ask your clinician and operating airline about flying or health concerns.

Do not rely on third-party promises of guaranteed beds or cures. They are outside Get Well China’s service.

Get Well China provides travel planning and communication support only. We are not a healthcare provider and do not provide medical services. We do not collect or review medical records, give diagnoses or treatment advice, or form views on whether a treatment is suitable for you, and we make no promises about treatment outcomes. Decisions on whether to accept you, treatment plans, medical fees and outcomes rest with the treating hospital and its clinicians.

About 24–48 hours · Initial check target (indicative)

The hospital checks your records

The hospital checks documents; we follow up on missing-item status.

Hospital staff check whether records submitted directly to them are complete, legible and usable by the relevant department, and request missing items. The platform follows submission status only and does not receive or read records. Resolve material gaps before discussing travel. If a clinician raises concerns about treatment or flying, check with your local doctor, the hospital and airline before making cross-border bookings.

Materials and checks at this stage
  • Confirmation that the hospital received your documents.
  • A clear missing-item list, report language and image format requirements.
  • Check concerns about flying with a clinician and the operating airline.

The hospital gives a first view

The hospital supplies comments; the platform coordinates communication.

Once the hospital confirms that documents are usable, we help arrange communication with the relevant department. The hospital decides whether to provide preliminary visit-preparation comments. These may identify examinations, department contacts, dates and fees needing confirmation; they are preparation information, not a platform diagnosis, admission guarantee or bed reservation. In this pathway, treating clinicians independently decide final diagnoses, plans and admission after an in-person consultation and necessary examinations. Response timing depends on the hospital and cannot be promised by the platform.

Materials and checks at this stage
  • Whether the hospital agrees to further communication and provides department contacts.
  • Unconfirmed dates, examination requirements and clinical fees.
  • Preliminary comments do not replace an in-person consultation or justify changing treatment yourself.

What you receive

  • Preliminary preparation comments, if supplied by the hospital
  • Dates, departments and document items awaiting confirmation
  • Information on further discussion or pausing arrangements

The hospital is responsible for clinical assessment. Pay any resulting fees directly to it.

You prepare to travel

Check official requirements; the travel agency handles agreed travel services.

After hospital arrangements become clearer, we help check official application channels, document lists and provider contacts without deciding visa outcomes. The hospital decides whether it can issue supporting documents. Visa authorities decide issuance; border authorities decide entry. Confirm accommodation, transfers and interpreting separately with the travel agency, and verify flights, visas and insurance with their respective providers. A clinician and the operating airline must address mobility, oxygen or other flying needs; the platform does not judge fitness to fly.

Materials and checks at this stage
  • Passport, visa or applicable entry arrangements verified with official authorities.
  • Written hospital arrangements, agency confirmations and emergency contacts.
  • Check sample and medicine transport with the hospital, airline and customs.

What you receive

  • A pre-departure and contact checklist
  • Separate hospital and travel-agency confirmations
  • Official visa and entry information channels

The travel agency separately charges travel services. Pay flights, visas and insurance to the respective providers.

You attend and return home

Clinical care belongs to the hospital; travel services to the agency.

The agency supplies contracted transfers, accommodation and interpreting; the hospital is responsible for in-person clinical care and decisions. Pay clinical fees through the hospital’s official channels and obtain its invoices and receipts. The agency collects travel fees separately and provides its own documents. Before leaving, obtain discharge records and clinical follow-up contacts directly from the hospital. We can coordinate contacts and return travel, but do not receive records, interpret test results or provide remote clinical care.

Materials and checks at this stage
  • Check official hospital payment channels, invoices and receipts.
  • Agency service scope, contract and separate payment documents.
  • Obtain discharge documents and follow-up contacts directly from the hospital.

What you receive

  • Hospital-issued clinical invoice and receipt
  • Separate agency contract and documents, if travel services are chosen
  • Hospital follow-up contacts and return arrangements

Medical and travel payments are settled separately. The platform does not collect or pay clinical fees on your behalf.

Before arrival, check three groups of items

This checklist organises preparation only; it does not establish hospital acceptance, visa approval or fitness to fly. Checks stay on this page and do not submit or save personal information.

Clinical documents · Direct to the hospital

The hospital confirms the list and formats. Check sample transport and medicines with the hospital, airline and customs; do not change medicines or packaging based on this page.

Identity and entry · Official verification

No visa category, exemption or passport validity is assumed. Check names, supporting documents and companion requirements with the authorities and hospital.

Payment and contingencies · Confirm separately

Pay medical and travel providers separately. Verify payment methods, limits, rescheduling and cover with the provider, bank or insurer.

Common questions

How long might preparation take?

Initial document checks may target 24–48 hours and hospital feedback 3–5 working days, with a 12–21 day preparation window for discussion. These are coordination references, not measured medians or commitments. Missing documents, hospital scheduling, visas and individual circumstances may change timing. Do not base non-refundable travel on these estimates before providers confirm arrangements.

Can records in my language or handwritten reports be provided?

Ask the hospital which languages and formats it accepts and whether professional translation is needed. Provide originals directly to it. Check unclear handwriting with the issuing provider rather than guessing or rewriting clinical content. The platform can coordinate interpreting or translation contacts and quotes, without reading or interpreting clinical information.

What happens if the hospital does not accept the visit arrangement?

Each hospital decides whether it can accept a visit. If it declines, we relay the non-clinical arrangement status in writing. The hospital provides clinical reasons, assessment comments and related documents directly to you; please discuss these with the hospital or your own doctor. We can help with non-medical matters such as existing travel bookings.

Will my insurance cover the costs?

Whether costs are covered depends on your insurer and your policy. Please check your cover with your insurer before travelling. Get Well China does not give insurance advice, recommend insurance products, sell or arrange insurance, or handle claims. If needed, you can ask the hospital for invoices and copies of documents.

What about visas or hospital letters?

Check visa and entry requirements with the relevant authorities. The hospital decides whether to issue supporting documents; the platform coordinates contacts only and does not guarantee approval, issuance dates or entry.

Will you collect my medical records?

No. Our website form does not collect medical records or identity documents. If a hospital needs documents, you provide them directly through its specified channel.
